ISO 9001 Training Records — Competence Evidence, Not a Quality Manual
Keep training and qualification records that quality audits sample. FieldClear organises dates and files. It does not certify you to ISO 9001 or run your QMS.
- Competence evidence as named records
- Expiry and missing rows visible early
- Files attached to the person
- We do not write your quality manual

Clause language, matrix job
Quality manuals talk about competence. Auditors still ask for who was trained and when. That is a records job sitting beside the QMS, not inside a procedure PDF.

Do not keep a quality-only copy
If quality owns a tidy matrix and operations owns the real one, surveillance week becomes a reconciliation. One operational record, sampled by quality.

Reminders between surveillance
People change roles. Tickets lapse. Warnings keep the competence table you showed last year from being fiction this year.

Quick answer
ISO 9001 training records in FieldClear means storing assigned training and qualification evidence so competence samples have current dates and files. It is not a quality-management system, not ISO certification, and not a substitute for defining competence in your own procedures.
The competence table in the quality folder
A spreadsheet saved as “ISO competence matrix 2024” is updated for the audit and then ignored. Meanwhile people start, leave and change roles. The useful artefact is the same matrix operations already need for expiry.
Let quality sample operations
- Keep one matrix of assigned requirements, dates and files.
- Map role titles to the competence table in your QMS — outside FieldClear.
- At audit, filter to the sample.
- Leave missing rows visible; do not paint them green.
- Run reminders so surveillance is not a rebuild.
What FieldClear does not do
- It does not certify you to ISO 9001.
- It does not replace a quality manual or internal audit programme.
- It does not decide what competence means in your QMS.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Does FieldClear get us CHAS or SafeContractor accredited?
No. Accreditation schemes set their own criteria and assess your organisation. FieldClear helps you keep the training records, expiry dates and evidence that audits often ask to see — it does not replace the accreditation process or guarantee a pass.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Is this an LMS?
No. The product tracks workforce qualifications, evidence and expiry dates. It does not deliver e-learning courses or assessments.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
Your training matrix already exists. Make it useful.
Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
