Who Should Receive Certificate Expiry Reminders?
Reminders should reach someone with authority and time to book renewals and update records. Flooding every operative’s inbox often creates noise without closing gaps.
Quick answer
Default to a matrix owner or compliance admin, plus the supervisor who controls diaries for that gang. Add the worker only when they book their own courses and reliably update you afterwards.
Sensible recipient patterns
| Situation | Who to notify |
|---|---|
| Direct employees, central booking | Admin owner + line supervisor |
| Self-employed who book themselves | Worker + engager who checks evidence |
| Agency labour | Agency contact + your onboarding owner |
| Critical site-access cards | Project lead copied on due-soon lists |
Keep the signal clean
- One primary owner per organisation or site cluster
- Escalate overdue items, do not only send polite early nudges
- Stop reminders when someone is archived off the matrix
- Never treat a reminder as proof the renewal is done
Honest limits
FieldClear can email reminder owners. It does not chase third parties for you or certify that training happened. Not legal advice.
