What Clients Check in a Contractor Training Matrix

Clients and principal contractors typically check whether the people named for their project hold current assigned cards and courses, whether evidence is readable, and whether agency or subcontract rows are controlled — not whether your spreadsheet looks colourful. Prepare for those questions explicitly.

Quick answer

Expect scrutiny on name matches, role-relevant qualifications, expiry dates covering the mobilisation window, certificate file quality, first-aid or other cover claims, and how you onboard suppliers. A matrix that cannot answer those points will trigger clarifications even if every cell is green.

Typical client checklist

  • Are the people on the matrix the people arriving on site?
  • Do requirements match the package (height, plant, electrical, etc.)?
  • Which records expire before the planned finish date?
  • Can they open a clear card or certificate face?
  • How are agency workers verified?
  • Who owns updates when something fails a gate check?

How to present without oversharing

Export a project-filtered pack rather than your entire company history. Include employer names for supply-chain workers. Omit unrelated personal data. If something is missing, show it as missing with an action date — clients prefer a managed gap to a hidden one.

  1. Filter to the named gang or package.
  2. Run expiry and missing filters for the programme window.
  3. Attach only the evidence needed for those rows.
  4. Add a one-page note on your update and escalation process.
  5. Store the dated pack with the client request reference.

Honest limits

FieldClear helps you produce named extracts with dates and files. It does not decide what a particular client must accept at their gate. This guide reflects common operational practice, not a universal client standard or legal requirement.
