Water Hygiene Card Tracking Guide

Water hygiene cards and courses appear under several client and scheme titles. Record the exact product your organisation assigns, track dates from genuine evidence, and remember that a matrix entry does not grant access to plant rooms or client systems.

Start from the exact scheme title the client uses

Social housing, facilities management and construction clients may ask for “water hygiene”, “blue card”, legionella-related awareness or a named proprietary scheme. Those labels are not automatically interchangeable. Copy the requirement name from the client’s prequalification or method statement, and store the certificate title as printed. If two clients use different schemes, keep separate requirement lines rather than forcing one generic water-hygiene column that greens everyone for every contract.

What to capture on each record

  • Exact course or card title matching the evidence
  • Award and expiry or review dates shown on the certificate
  • Provider or scheme reference where present
  • Client or contract the requirement was assigned for, if rules differ
  • Evidence file attached to that requirement
  • Role applicability for technicians, operatives and supervisors
  • Owner who books renewals before planned works in occupied buildings

Operational workflow for housing and FM works

Occupied buildings punish late renewals: access windows are short and residents notice cancelled appointments.

  1. Confirm which water-hygiene products each contract assigns.
  2. Import named evidence for directly employed and regular subcontract technicians.
  3. Filter expiries against the planned maintenance and project programmes.
  4. Book renewals early enough for course places and card processing.
  5. Re-check evidence before high-volume planned maintenance weeks.
  6. Update dates and files together when renewals complete.

Keep access control separate from training status

Holding a current water-hygiene record does not automatically authorise lone access to risers, tanks or client CAFM permits. Those controls live in permit-to-work, identity and client onboarding systems. Use the matrix to answer whether assigned training evidence is present; use access systems to answer whether someone may enter. When agency technicians cover reactive call-outs, demand named certificates before issuing keys or fobs—trading-name assurances fail audits after an incident.

Sample-check titles: an awareness certificate must not sit under a requirement that the client defined as a specific card scheme. Archive superseded cards with history. Link related but separate items—such as asbestos awareness or working-at-height assignments for the same technician—without merging them into the water-hygiene cell.
