Training Matrix for Principal Contractor Checks
Principal contractor checks ask whether named people hold the evidence required for access and the planned work. Prepare a filtered, dated extract that matches their template—and keep your live matrix honest when labour changes overnight.
Match their gate question, not your internal dashboard
Principal contractors vary: some scan cards at the turnstile, some want a spreadsheet 48 hours ahead, some use a portal. Map their fields to your requirement names once per project. If they ask for supervisors’ SMSTS and operatives’ CSCS, do not send an unfiltered company export that buries gaps. State the employing company for every agency or labour-only person so the PC can see who supplies whom.
Pre-check pack checklist
- Named list aligned to the programme attendance window
- Requirements the PC specified, with dates and statuses
- Evidence files or portal uploads in the format they accept
- Inductions and site-specific items tracked separately where required
- Open renewals listed as actions, not painted current
- Contact for queries who can answer outside site hours if needed
- Version and date on every submission
Workflow from nomination to gate
Work backwards from the PC’s cut-off so substitutions still have time for evidence.
- Obtain the PC’s template or portal field list at pre-start.
- Nominate the named gang and map roles to assigned requirements.
- Clear critical gaps or formally substitute people who cannot meet the ask.
- Submit the pack before the deadline and keep the identical archive copy.
- On labour changes, issue a controlled revision rather than informal WhatsApp photos only.
- At the gate, admit only people on the accepted list or through the PC’s addition process.
Keep internal control even when the PC is light-touch
A principal contractor who only glances at cards still leaves you responsible for the people you send. Maintain fuller internal assignments—first aid, plant categories, client inductions—even if the gate checklist is shorter. When several subcontractors share an interface, agree whose first-aiders and supervisors cover whom; training extracts do not settle welfare design alone. Site managers should be able to pull the same named list the PC saw without rebuilding columns on a phone at dawn.
After rejection or a turnaway, fix root causes in the live matrix: missing employer fields, stale agency names, illegible scans. Build evidence packs that you can reuse for accreditation samples so PC checks and SSIP-style assessments stop being separate panic exercises.
