Temporary Works Coordinator Records Guide
Record Temporary Works Coordinator (TWC) and Supervisor (TWS) training as distinct assigned requirements, and keep the project appointment separate from the training date. A current course certificate is not the same thing as being appointed on a live job.
Quick answer
Hold training expiry (or completion) for TWC/TWS on the person’s matrix row, store the appointment letter or register entry against the project, and ensure clients can see both when they ask who is coordinating temporary works. Never let a green SMSTS cell stand in for TWC evidence.
What to keep visible
- Named individual and role (TWC or TWS)
- Training course title and date or expiry per your company rule
- Certificate or provider confirmation file
- Project appointment reference and date
- Deputy arrangements where your procedure requires them
- Related design-check or permit processes stored outside the matrix
Matrix workflow
- Assign TWC/TWS training only to roles that may be appointed.
- Update training dates from genuine certificates.
- When a project appoints someone, record the appointment explicitly.
- Filter projects where appointment exists but training is expired or missing.
- Include named TWC/TWS evidence in principal-contractor packs when asked.
Why separation matters
People change jobs between sites. Training may still be current while appointment has ended, or a newly appointed person may be waiting on a course date. Collapsing both into one cell creates false confidence during audits and incident investigations.
