How to Respond When a Gate Check Fails on Training
Treat a failed gate check as a records problem first: confirm what the marshal asked for, compare it to your matrix and files, then either correct the evidence or demobilise the person. Arguing without paperwork rarely helps.

Capture the rejection reason, verify the card or certificate against the live scheme or file, update your matrix if the record was wrong, and only re-present when evidence matches. If the worker truly lacks the requirement, stop them working that activity.

- Write down the exact requirement the gate cited (card type, course, induction).
- Check the physical card or certificate against the matrix row and photo.
- Run any official validity check the site uses, where applicable.
- If your file was wrong, replace it and note the correction date.
- If the worker is not qualified, reassign or remove them from that site list.
Prevent the next failure
- Filter the matrix for the project gang before mobilisation day
- Chase expiries with enough lead time for tests and bookings
- Keep readable card images linked to each requirement
- Treat agency arrivals the same way as payroll staff
