How to Prove First Aid Cover Across Shifts
Prove first-aid cover by naming who holds current First Aid at Work or Emergency First Aid qualifications on each shift pattern, with expiry dates and evidence — not by stating that “cover is in place”. A matrix makes gaps visible before a client or inspector asks.
Quick answer
List first aiders against shifts or sites, track FAW/EFAW expiries separately from general site cards, confirm they are rostered when claimed, and export a dated cover view for the period in question. Replace or escalate before a certificate lapses mid-rota.
What to record
- Named first aider and qualification type (FAW, EFAW, etc.)
- Certificate issue and expiry dates
- Attached certificate file
- Primary site or project
- Shift pattern they are counted against
- Deputy cover when the primary is on leave
Cover workflow
- Decide how your organisation assesses first-aid needs for each site or project.
- Assign the matching qualifications as matrix requirements.
- Map people to shifts; do not double-count one person across simultaneous sites.
- Filter expiries for the next rota cycle.
- Produce a simple cover extract for client or internal assurance.
Night and weekend pitfalls
Day-shift first aiders are often assumed to cover nights. They do not. When labour is mainly subcontract, confirm the first aider is actually attending that shift. Keep mental-health first aid separate if you track it — it answers a different question.
Honest limits
FieldClear tracks assigned first-aid qualifications and dates. It does not determine legally adequate cover for your workplace — that remains your organisation’s assessment. Tracker and use-case pages are operational tools only. This guide is not legal advice.
