How to Import a CSV Training Matrix

Export or save your matrix as CSV or Excel with clear worker names, requirement columns and real dates, then use the product’s import flow to map fields. Clean the sheet once before import — garbage in stays garbage.

Quick answer

Standardise names, fix obvious date errors, remove empty decorative rows, then import. After import, attach evidence and confirm statuses match today’s calendar before you trust the view for mobilisation.

Prepare the file

  1. Keep one header row with requirement names you recognise.
  2. Use consistent worker names (avoid “J Smith” and “John Smith” as two people).
  3. Put dates in a single format your team understands.
  4. Delete colour-only status columns that contradict the dates.
  5. Save a dated backup before you change anything.

Import and verify

  • Map columns carefully — wrong mapping is worse than no import
  • Spot-check a sample of workers against the source sheet
  • Mark not-required where empty cells meant “does not apply”
  • Upload certificate files for critical requirements next

FieldClear trial

FieldClear is built around uploading the matrix you already use. Start the 14-day free trial — no card required — and judge the import on your real file. Plans start from £29/month by workforce size.

Honest limits

Import does not validate legal competence or scheme approval. You still decide which requirements apply. Not legal advice.
