How Long Does SMSTS Last?
SMSTS certificates are commonly treated as lasting around five years from the award date, but you should always confirm the printed certificate and current CITB scheme rules—including any refresher eligibility window—before planning renewals or site cover.
Read the certificate before quoting a number
Site teams often say “SMSTS lasts five years” because that is the familiar planning assumption. Treat it as a typical cycle, not a guarantee. The decisive source is the certificate in front of you and the scheme or provider rules in force when it was issued or refreshed. Award dates, provider names and any printed expiry or validity statement belong in the matrix as separate fields. If the paper and the scheme page disagree with someone’s memory, trust the evidence and escalate—not a verbal claim in the canteen.
What to record for each SMSTS holder
- Full course title so SMSTS is not confused with SSSTS or a refresher
- Award or completion date copied from the certificate
- Any printed expiry or validity statement, or the review date your company policy sets from scheme guidance
- Provider and certificate reference where shown
- Evidence file attached to the SMSTS requirement only
- Refresher eligibility window noted as a planning field if your process uses one
- Owner responsible for booking before the window closes
Renewal workflow that respects refresher windows
Many managers lose time—and sometimes course eligibility—because someone booked a full SMSTS when a refresher was still available, or waited until after the refresher window closed. Build the matrix around both the certificate horizon and the booking lead time your region actually needs.
- Confirm whether the person holds a full SMSTS or an SMSTS refresher certificate and label the requirement accurately.
- Enter dates from evidence; do not backfill from a neighbour’s “we all did it in 2021” estimate.
- Filter SMSTS due within 90 days against projects that still need that manager on site.
- Check refresher eligibility against current scheme rules before choosing a course product.
- Book early enough for course availability; record bookings as actions, not as current credentials.
- Replace evidence and dates together when the new certificate arrives.
Operational patterns that break SMSTS cover
A single site manager covering several contracts can create a concentrated expiry risk: one lapsed certificate affects multiple programmes. Flag people who appear as the only SMSTS holder on a live site and plan cover or early renewal deliberately. Agency or freelance managers need named certificates under the spelling that matches photo ID; company-level statements that “all our PMs have SMSTS” fail gate checks. Keep SSSTS on a separate line for supervisors—promoting someone does not silently convert their certificate type.
When programmes extend, re-check whether the SMSTS date still covers the full attendance period. Mid-contract expiry discovered at a client audit is avoidable if filters include the planned end date. Archive superseded certificates with history so assessors can see why a date moved. Do not invent a universal rule that every visitor or quantity surveyor needs SMSTS; assign the requirement only where your roles and project arrangements require it.
