Can a Client Reject a PDF Export of Your Matrix?
Yes. Clients set their own evidence rules. A PDF of your matrix can be refused if names, dates or certificates are missing, unreadable, or different from what their portal or principal contractor asks for.
Quick answer
A PDF is only as good as the sample it contains. Many clients accept PDF or spreadsheet exports; some want live portal uploads, original card images, or Smart Check results. Ask for the required format before Monday’s mobilisation.
Common rejection reasons
- Expired or missing critical cards on the filtered list
- No certificate files attached — only colour cells
- Wrong people included (or agency labour missing)
- Illegible scans or name mismatches
- Out-of-date export that does not match today’s gate policy
How to reduce rejections
- Confirm format: PDF, spreadsheet, portal fields or pack zip.
- Filter to the project gang before exporting.
- Include evidence links or attached files they asked for.
- Date-stamp the export and keep a copy with the job reference.
