Plant Operator Qualification Tracker by Category
Track CPCS, NPORS and related plant categories per operator — not a single “plant valid” cell. See which category expires first before you allocate the machine.
- Category-level records, not a yes/no plant column
- CPCS, NPORS and related tickets side by side
- Expiry calculated from today
- Import the operator list you already chase

A plant card is not one qualification
Excavator size, lifting duties and attachments can matter to the planned task. Keep categories as separate requirements.

Quick answer
A plant operator qualification tracker records which categories each operator holds, when they expire, and where the card evidence is. FieldClear does that inside a live matrix you can import from Excel. It does not authorise plant operation, replace familiarisation, or decide which scheme a client accepts.
The “plant valid” column
Spreadsheets collapse CPCS, NPORS and several categories into one date. The operator is current on a dumper and expired on the excavator the job actually needs. Category-level rows make that visible before the machine is on the plot.
Practical setup
- Import operators and map each plant category to its own requirement.
- Attach card images against the matching category.
- Assign only the categories each role actually uses.
- Filter by category before allocating a machine.
- Set reminders with enough lead time for tests.
What FieldClear does not do
- It does not authorise anyone to operate plant.
- It does not replace familiarisation on a specific machine or attachment.
- It does not decide whether CPCS or NPORS is accepted on a site.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I track subcontractors?
Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.
Who is FieldClear for?
Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
Your training matrix already exists. Make it useful.
Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
