HSE Inspection Training Records — Ready If an Inspector Asks

Keep assigned training, dates and files findable if an HSE inspector asks to see them. FieldClear does not speak for you, determine duties, or replace legal advice.

  • Named records with dates and files
  • Missing rows left visible
  • Filter the people on site that day
  • Honest limits — we do not advise on inspections

14-day free trial. No card required.

Inspectors ask for current evidence, not a policy

If you are asked who was trained for a task, the useful answer is a named record with a date and a file — or an honest gap. A recoloured spreadsheet is a weaker answer.

The people on site that day

A company-wide matrix is noisy. Filter to the workers actually present so you are not searching while someone waits.

Reminders so the answer stays true

Records built for last year’s visit rot. Warnings keep dates moving in ordinary weeks.

  • Files on the worker
  • You choose recipients
  • Gaps stay visible

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

HSE inspection training records in FieldClear means keeping assigned training, expiry dates and certificate files organised so you can show what you hold if asked. FieldClear does not determine legal duties, attend inspections, or provide health and safety advice. For what inspectors commonly ask about, see our informational guide.

Evidence in vans when someone asks at the gate

Certificates live with supervisors. The office matrix is a week behind. An inspector’s question is then a scavenger hunt. A live record with files attached is still only evidence of training you recorded — not a defence by itself — but it is a clearer starting point.

Be able to show what you hold

  1. Keep assigned requirements, dates and files on worker records.
  2. Use N/A honestly; leave genuine gaps blank.
  3. Filter to people on the relevant site or shift if asked.
  4. Do not paint over expired rows.
  5. Take legal and health-and-safety advice from competent people — not from this page.

What FieldClear does not do

  • It does not determine what HSE will ask for or accept.
  • It does not provide legal or health and safety advice.
  • A green cell is not proof that work was safe or that a duty was met.

The guide what training records does HSE ask for stays informational. This page is the product view for storing the operational records.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Is my data private?

Each organisation's data is isolated from every other organisation's. Documents and records are encrypted in transit and at rest, access is controlled by user permissions, and you can export or delete your data at any time. We host in the UK and EU.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Who is FieldClear for?

Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
