Hot Works Training Records — Awareness Is Not the Permit

Track hot-works awareness or related courses you assign. FieldClear does not issue hot-works permits, fire watches, or insurer approvals.

  • Awareness course distinct from the daily permit
  • Fire-watch records only if you assign them
  • Occupied-building inductions beside hot-works
  • Import the trade list you already keep

14-day free trial. No card required.

The permit is a daily act

A current awareness record is one input to hot works. The permit, fire watch and area controls remain your site process.

Trades forget they need a date

Welders, roofers and sprinkler fitters pick up hot-works awareness on different cycles. A named requirement stops it hiding inside a trade NVQ.

Reminders before occupied-building shutdowns

Night works in live buildings are when expired awareness is discovered. Warnings exist so the permit desk is not the first to notice.

  • Awareness as its own date
  • You choose recipients
  • Permit process stays outside FieldClear

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

Hot works training records in FieldClear means tracking any hot-works awareness or related courses your organisation assigns, with dates and files. It is not a permit-to-work system and does not authorise welding, grinding or roofing torch work.

Permit desk vs training spreadsheet

Permits are issued by people who do not own the training matrix. They assume awareness is current. When it is not, the discovery is on the roof at 9 p.m. A live awareness date does not replace the permit; it stops the permit being issued on a fiction.

Track awareness; issue permits elsewhere

  1. Add hot-works awareness as a requirement for the trades you assign it to.
  2. Do not treat it as a permit.
  3. Attach certificates.
  4. Review named people before occupied-building night works.
  5. Keep permit, fire-watch and isolation processes in the systems you already use.

What FieldClear does not do

  • It does not issue hot-works permits.
  • It does not replace fire-watch, isolation or insurer conditions.
  • A green cell is not authorisation to start hot works.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Who is FieldClear for?

Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
