Who Is Responsible for Maintaining a Training Matrix?

Someone named — not “the management team”. The owner is accountable for the matrix staying trustworthy; supervisors and managers still feed completions, leavers and role changes for their people.

In a 40–120 person contractor this usually sits with health and safety, a training coordinator, or an operations manager who already lives in the allocation problem. The title matters less than one named person who is answerable when Friday’s list is wrong.

What good ownership looks like week to week

  2. A fixed review (weekly for mobilising teams; monthly minimum for quieter periods)
  3. Clear rules for blank vs not required vs expired
  4. Evidence attached or linked the same day the date is entered
  5. Handover notes when the owner is on leave

Why shared Excel ownership fails

Open-edit SharePoint matrices with 200 rows and unlocked cells produce silent errors: someone overwrites a date, another person recolours a row by eye, a third saves a desktop copy. Software does not remove the need for an owner — it removes the version chaos and calculates status from today so the owner reviews exceptions instead of painting cells.

How often the owner should review

Review frequency depends on how often you mobilise and how long renewals take. Many construction teams need a weekly look at the next 30–60 days of expiries.   • Nobody can say whose name is on the matrix without thinking
  • Subcontractor packs live only in email
  • Status colours disagree with the dates
  • Leavers still appear on this week’s allocation list
