How Long Should Training Records Be Kept in the UK?
There is no single universal number for every training record in the UK. You need a retention period you can justify under data-protection rules, plus any longer statutory or sector periods that apply to specific records.
This is operational guidance for running a training matrix, not a retention schedule you can paste into a policy without review. Get advice when you write or update your formal retention and privacy documents.
Why “forever” and “delete on leaving” both fail
Keeping every scan indefinitely creates clutter, access risk and GDPR headaches. Deleting training evidence the day someone leaves can leave you unable to answer a later claim, client query or inspection about work they did while employed. The middle path is a defined period, a named owner, and an archive that is searchable but not mixed into the live mobilisation list.
A practical baseline many UK employers use
HR retention guidance commonly used in the UK (including CIPD-style baselines) often points to around six years after employment ends for many personnel and training records. Treat that as a starting point for discussion — not as FieldClear’s legal determination for your business.
| Record type | Practical approach | Watch-outs |
|---|---|---|
| Ordinary training / card evidence for leavers | Archive for a defined period after leave date (often measured in years, not weeks) | Align with your HR retention schedule |
| First-aid and similar certificates | Keep while current for operations; archive after leave per policy | Sector or insurer expectations may differ |
| Health surveillance / COSHH-linked health records | Follow the specific regulation — some periods are much longer | Do not store confidential medical notes in the training matrix |
| Subcontractor evidence you collected for a contract | Keep for the contract close-out and claims window you define | Clarify who is the data controller for copies you hold |
What to keep for the period you choose
- Worker identity and role at the time
- Requirement name as assigned
- Completion / issue and expiry dates as real dates
- Evidence file or a reliable reference to where it was stored
- Who updated the record and when, if your system keeps history
For the day-to-day contents of a live record, see employee training records: what to keep. Retention answers “how long”; that guide answers “what belongs in the row”.
Operating habits that make retention real
- Mark leavers archived — do not delete the history you still need
- Separate live allocation views from archive storage
- Write down the retention period and the deletion / review trigger
- Limit who can export bulk certificate packs
- Review the schedule annually when roles or regulations change
What this is not
- Not legal advice on GDPR or employment claims
- Not a claim that six years is mandatory for every record
- Not permission to keep medical records in a training spreadsheet
- Not a substitute for your privacy notice and retention policy
When archive and live lists blur, use a system that keeps evidence on the worker record, calculates status from today, and lets you export or delete when your policy says so.
