What’s in the template

A practical Excel training matrix framed for employed staff — the same structure as our general template, with guidance aimed at HR and operations teams who need one grid of people against assigned training.

  • Worker rows with name, role, worker type and team.
  • Requirement columns you rename to the courses and cards your organisation actually assigns.
  • Conditional formatting driven by today’s date — expired red, within 60 days amber, current green.
  • A distinction between blank (no record) and N/A (not required for that role).
  • An evidence location column so certificates are not orphaned in email.

Employees vs everyone else on site

Many teams start with employees only, then discover subcontractors and agency workers need the same columns. Use the worker-type field from day one so you can filter to employees when payroll asks, without maintaining a second sheet.

How to use it well

  1. List employees (and any other worker types you already track).
  2. Replace example columns with the training your roles actually require.
  3. Enter expiry dates as DD/MM/YYYY — not text months.
  4. Leave cells blank when a record is missing; enter N/A when the requirement does not apply.
  5. Note where each certificate or card image is filed.
  6. Diary a weekly review — Excel will not email you.

Disclaimer

This is a practical starting point, not legal or HR advice. Your organisation decides which training each role needs. A green cell means the date you entered has not yet passed the formatting threshold — not that someone is authorised for any particular duty.

Questions people ask before signing up

Is the training matrix template really free?

Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.

What is a training matrix?

A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Outgrown your spreadsheet?

Upload the same file and turn it into a live matrix with automatic expiry reminders.
