How Should Subcontractor and Employee Training Records Differ?
Use one operational view where both groups are allocated together, but record worker type, employer, evidence source and verification ownership explicitly.
One view does not mean identical responsibilities
A supervisor planning tomorrow’s crew needs to see relevant employees and named subcontract workers together. That does not erase contractual or employment distinctions. Add worker type and employing company, record who supplied and verified evidence, and preserve any limits on your right to store or reuse personal data.
Common fields and useful differences
- Name, role and active status for everyone allocated
- Employer or subcontract company
- Assigned requirements for the proposed work
- Certificate dates and evidence source
- Verification date and responsible person
- Site induction kept separate from portable credentials
- Offboarding or demobilisation date and retention handling
Avoid assurance by spreadsheet
Do not mark a subcontractor compliant simply because their company sent a matrix. Sample or verify evidence under your agreed process, clarify what the subcontract employer remains responsible for, and re-check when a named person changes. For employees, connect joiner, role-change and renewal workflows so the live roster stays accurate.

Design proportionate verification
Verification can be risk-based without becoming casual. Decide which schemes have an online check, which certificates need provider confirmation when doubtful and how frequently long-running subcontract teams are resampled. Record the check date and checker so a client can distinguish supplied evidence from independently reviewed evidence. If a subcontract employer replaces a person, require a fresh named-worker review rather than inheriting the former worker’s status. Give subcontractors a clear, secure upload route and a minimum naming standard; email chains with compressed phone photographs create avoidable ambiguity about holder, card side and expiry.
Set expectations in the subcontract order or onboarding pack: notice for substitutions, evidence format, responsibility for renewals and how rejected documents are corrected. Apply the process consistently while recognising that direct employees may have different HR records and development routes. Keep commercial performance concerns outside certificate notes. When the relationship ends, revoke external access and process personal data under the retention schedule instead of leaving every former worker active for future convenience.
