How Often Should Health and Safety Training Be Refreshed?
There is no single UK rule that every health and safety course must be refreshed every year. Frequency follows the risk, any certificate validity set by the provider or scheme, and your organisation’s own assessment of when knowledge goes stale.
This is operational guidance for building refresh rules into a training matrix — not legal advice and not a universal timetable. Check current course, scheme and insurer requirements for each item you assign.
Three clocks that get mixed up

How to set refresh rules without inventing law
- If the card or certificate has a fixed end date, use that date
- If the provider states a validity period, record it and evidence the source in notes or policy
- If there is no printed expiry, decide a review interval from risk assessment and write it down
- Shorten the interval after incidents, process changes or long absences
- Do not mark “current” because someone sat in a toolbox talk last year without a defined rule
Examples of thinking — not a mandatory schedule
- First aid certificates often carry a stated validity (commonly multi-year) with interim refresh practice — follow the certificate and your first-aid needs assessment
- Site access cards follow the scheme’s printed expiry
- Induction acknowledgements may need re-issue when the company process changes, not on a birthday calendar alone
- High-risk task briefings may need refreshing when equipment, methods or supervision models change
Copying a blog’s “everything annual” table into your matrix creates false confidence. Your risk assessments and competent person should drive the intervals you assign.
Putting refreshers into the matrix
- One requirement column per distinct item — do not merge “H&S” into a single vague cell
- Real dates only
- Reminder windows matched to booking lead times
- Notes for “booked”, “awaiting card”, “supervised only”
- Separate matrix review cadence from individual refresher dates
