How to Track CSCS Card Types and Expiry

Record the scheme, card type, occupation or endorsement, number and expiry from verified evidence, then assign the record only where your role, client or site process calls for it.

Capture more than a colour

Labourer, apprentice, skilled worker, advanced craft, supervisory and management cards communicate different routes and occupations. Partner schemes such as ECS or CISRS should retain their own identity rather than being relabelled CSCS. A card may support a gate check, but it does not by itself prove competence for every task shown on a job title.

Build a renewal pipeline

Review cards far enough ahead to allow for tests, qualification evidence and application processing relevant to that holder. Check live projects through their expected finish date. Keep “renewal submitted” separate from current, and replace the old evidence only after the new card has been verified.

  2. Verify scheme and card details.
  3. Assign card requirements by real role and site rules.
  4. Filter 90, 60 and 30-day windows.
  5. Track application steps without extending expiry.
  6. Re-verify and attach the renewed card.

Keep verification proportionate and current

Decide when the card is checked online: at onboarding, before mobilisation, after renewal and at any other point required by your customer or scheme process. Save the verification date and result rather than claiming the screenshot remains authoritative forever. If the occupation shown does not match the proposed role, refer it to the responsible manager; do not relabel the card in the matrix to make it fit. Keep test bookings, qualification claims and application references in a renewal note, separate from the live card status. That gives administrators useful progress without presenting incomplete steps as valid access evidence.

Use a renewal dashboard that distinguishes cards expiring soon from workers with no assigned card requirement. Prioritise people booked on live projects and those whose renewal route includes additional evidence. If an application is rejected or returned, record the next action and owner without changing the original expiry. Once the new card arrives, compare occupation and type with the expected route; a later date alone does not prove the correct card was issued.
