Quick answer

A rail training matrix is a workers-against-requirements Excel grid that shows who holds which assigned access cards, plant tickets and site inductions — and when they expire. Download this free template, rename columns to match your contracts, and enter real dates. FieldClear can import the same sheet later for automatic status and reminders. It does not determine Network Rail or client rules for you.

What’s in the template

A practical Excel matrix for rail and rail-adjacent contractors who allocate trackside and compound work across mixed gangs — with automatic colour from today’s date.

  • Worker rows with role and worker type (employee, subcontractor, agency).
  • Conditional formatting for expired, expiring and current dates.
  • Blank vs N/A so “not required for this grade” is not mistaken for missing.
  • Evidence location so card photos sit with the date.
  • A role requirements sheet for operative, lookout / COSS-style and supervisor grades you edit yourself.

How to use it for rail gangs

  1. Add operatives, lookouts and supervisors — including subcontractors who attend your possessions.
  2. Split access cards and plant categories into separate columns if different people hold them.
  3. Enter expiry dates as DD/MM/YYYY.
  4. Mark N/A for grades that do not need a column; leave blank only when the record is missing.
  5. Review before mobilising a shift — Excel will not email you.
  6. When colouring cells becomes the weekly job, run the matrix health check or upload for reminders.

Disclaimer

PTS, Sentinel-style access, plant categories and inductions appear as examples only. Requirements vary by client, route and possession. This is not legal or railway-rule advice. A green cell is not authorisation to enter the railway or operate plant.

Questions people ask before signing up

Is the training matrix template really free?

Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.

What is a training matrix?

A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I track subcontractors?

Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Outgrown your spreadsheet?

Upload the same file and turn it into a live matrix with automatic expiry reminders.
