What’s in the template
A practical Excel training matrix for groundworks contractors who allocate excavators, dumpers and street works tickets across mixed gangs — with automatic status colour from real dates.
- Worker rows with role and worker type.
- Conditional formatting driven by today’s date.
- Blank vs N/A so plant categories not held are not confused with missing records.
- Evidence location for card photos and certificates.
- A role requirements sheet for groundworker, plant and supervisor grades.
Why split plant categories
A single “plant” column looks tidy and fails the allocation question: who holds the 360 excavator category versus the dumper for tomorrow’s shift? If you allocate by category, give each category its own column with its own expiry.
| Example column | Typical use | Reminder |
|---|---|---|
| CPCS / NPORS category | If you allocate plant by category | Do not merge into one “plant” tick |
| NRSWA / street works | If your contracts require it | Qualifications are not interchangeable |
| CAT & Genny | If you assign cable avoidance | Keep separate from plant tickets |
| CSCS / site access | If sites require a card | Customer dependent |
| Banksman / traffic marshal | If assigned for vehicle movement | Role-dependent |
How to use it for groundworks
- List operatives, plant operators and supervisors who attend sites.
- Split plant categories into separate columns if you allocate work that way.
- Enter expiry dates as DD/MM/YYYY.
- Use N/A when a column does not apply; leave blank only when missing.
- Review before mobilising a gang or starting a new utility diversion.
- When the sheet drifts, run the matrix health check or upload for reminders.
Disclaimer
Plant categories, NRSWA and cable-avoidance columns are examples only. Requirements vary by activity, client and highway authority. This is not legal advice. A green cell is not authorisation to operate plant or work in the highway.
Questions people ask before signing up
Is the training matrix template really free?
Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.
What is a training matrix?
A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I track subcontractors?
Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.
Outgrown your spreadsheet?
Upload the same file and turn it into a live matrix with automatic expiry reminders.
