What’s in the template

A practical Excel training matrix — worker rows, requirement columns, conditional formatting and a guidance sheet — framed so electrical contractors know which columns to rename first. The download uses the same robust spreadsheet structure as our general template; the value on this page is the electrical starting vocabulary and how to maintain it.

• Worker rows with name, role, worker type and team — including subcontractors and agency electricians.
• Conditional formatting for expired (red), within 60 days (amber) and current (green).
• Blank vs N/A distinction so missing records are not confused with not required.
• Evidence location column so a date can be backed with a card photo or PDF.
• A role requirements sheet you can edit as apprentices progress to approved electrician grades.

Delete anything you do not assign. Adding every industry acronym “just in case” creates false gaps. Examples only — not a mandatory list:

ECS card vs supporting certificates

The common spreadsheet mistake is one “electrical” column. An ECS card, an 18th Edition certificate and an inspection qualification are different records with different dates. Keep them as separate columns so a green cell on the card cannot hide a lapsed supporting certificate the client will ask for.

Attach a clear image of the ECS card on the evidence path for that column. When a principal contractor asks for proof with little notice, you should not be waiting on a photo from someone’s van.

How to use it for electrical teams

1. Add your workforce, including subcontractors who need site or scheme cards.
2. Rename columns to the ECS types, electrotechnical courses and site requirements your contracts actually ask for.
3. Enter expiry dates as DD/MM/YYYY — not text months such as “Aug 26”.
4. Use N/A when a column does not apply to that role (for example apprentices who are not yet assigned a particular inspection qualification); leave blank only when the record is missing.
5. Review weekly — or before mobilising a gang — because Excel will not email you.
6. When colouring cells becomes the job, run the matrix health check or upload the sheet for automatic status and reminders.

When to leave the spreadsheet

Stay on Excel while one careful owner can finish a weekly review in minutes. Move on when ECS and supporting certificates multiply across dozens of workers, when subcontractors edit their own rows, or when you discover lapses at the gate instead of in the matrix.
