What Should You Do When a Certificate Expires on Site?
Stop relying on the expired record, notify the responsible site and employer contacts, review the task and contractual requirement, and only resume or reallocate through your authorised process.
Treat the status as a trigger for review
Do not silently change the date, accept a course booking as proof of renewal or assume a grace period exists. Confirm the record and source evidence first: data-entry mistakes happen. If it is genuinely expired, identify the work, role, site rule and authorisation connected to it, then escalate to the person responsible for the decision.
Immediate operational steps
- Verify the certificate number, holder and expiry from evidence.
- Tell the worker, supervisor and relevant employer or contract contact.
- Pause or reallocate affected activity where your procedure requires it.
- Check client, scheme and company rules for the specific record.
- Book renewal through the approved route.
- Document the decision and update the matrix only after valid evidence arrives.
Avoid these shortcuts
- Editing the expiry date to the booked-course date
- Using another person’s credential as cover
- Treating an email promise as a certificate
- Assuming every expired awareness course has the same consequence
- Leaving the worker green on reports while the review is open
Communicate the decision consistently
Site, payroll, labour supply and the worker can otherwise receive different messages. Nominate one operational decision owner and state whether the person is reallocated, stood down from a defined activity or awaiting verification. Avoid language such as “unqualified” unless that conclusion has actually been reached; the immediate fact may only be that one assigned record has expired. Where a client grants an exception through its authorised process, retain the written scope and end point without editing the underlying certificate. At handover, tell the next supervisor what remains unresolved so the worker is not returned to the same task by accident.
If fresh evidence is produced, verify the holder, course or card scope and effective dates before restoring status. Do not delete the incident from history; record when the gap was discovered, action taken and when valid evidence was accepted. Use that timeline to adjust reminder recipients or mobilisation checks. Avoid punitive conclusions based solely on the expired date—the root cause may be an office update failure, an application delay or an assignment that was no longer applicable.
Learn from the event
After containment, ask why reminders, rota checks or evidence updates failed. Check similar records across the active workforce and adjust notice windows to real booking lead times. The corrective action may concern ownership rather than software.
