Ten Training Matrix Mistakes UK Contractors Make
The most damaging mistakes are not untidy colours; they are unclear requirements, stale dates, missing evidence, duplicate files and treating a matrix as proof of legal compliance.
Mistakes that corrupt the data
- Using blank to mean both missing and not required.
- Typing months as text rather than real dates.
- Recording “plant” without scheme or category.
- Keeping dates with no certificate evidence.
- Copying requirements from an internet checklist.
- Leaving leavers active and starters absent.
- Treating a course booking as a renewal.
- Keeping employees and subcontractors in unrelated files.
- Manually colouring cells instead of calculating status.
- Assuming green means competent, authorised or legally compliant.
Repair meaning before presentation
Agree what each status means and who owns each requirement. Verify a sample of records against original evidence. Normalise requirement names carefully—CPCS categories, IPAF categories and F-Gas categories are details, not formatting noise. Then archive obsolete rows and preserve a dated source copy before bulk changes.
Build a maintenance rhythm
- Update new evidence on receipt
- Review near expiries weekly or fortnightly
- Check crews before mobilisation
- Review assignments after role or contract change
- Reconcile evidence samples periodically
- Name one accountable matrix owner
Software helps with calculated statuses, reminders and a single evidence location, but it cannot repair bad decisions automatically. Uploading a vague spreadsheet creates a live vague matrix. Clean assignments and labels first, then use automation to keep good records current.
Audit the process, not just the spreadsheet
Pick a recent starter, role change, renewal and leaver and trace what happened end to end. The starter should acquire assigned requirements, the role change should alter them deliberately, the renewal should update date and evidence, and the leaver should leave active reminders. This transactional sample exposes failures that a visually tidy full matrix will not. Ask supervisors whether they use the same source before allocation and whether missing evidence has a clear route back to the owner. Record corrective actions with dates; otherwise the same spreadsheet defects return after the next busy mobilisation.
Watch for cosmetic fixes that conceal rather than correct: deleting a difficult worker row, setting distant placeholder dates or marking every blank N/A. A reliable matrix should sometimes show red and missing items because it reflects real work in progress. Judge quality by traceability, ownership and timely action, not by the percentage of green cells. If management wants a trend, define the measure and denominator transparently and avoid presenting assigned-record status as a legal compliance score.
