How to Build a Training Matrix for HVAC and F-Gas

Record the individual’s exact F-Gas category and certificate evidence, then layer on refrigerant, access, electrical and client requirements assigned to the work.

Keep individual and company records distinct

An engineer’s personal qualification and an organisation’s company certification answer different questions. Store them in their appropriate systems and do not use one as a substitute for the other. Within the workforce matrix, capture the exact individual category, certificate reference, dates and evidence rather than a broad “F-Gas yes” field.

Add detail useful to dispatch

  • F-Gas category and certificate evidence
  • Refrigerant-specific course such as ammonia, CO₂ or hydrocarbons where assigned
  • Electrical safe-isolation record
  • CSCS or SKILLcard where the customer requires it
  • IPAF category or PASMA course for planned access
  • Manufacturer training relevant to supported plant
  • Customer induction and expiry

Check scope before location

For reactive work, dispatch can default to the nearest available engineer. Filter first by the requirements attached to the system and customer, then check availability. For planned maintenance, look ahead through the contract period so expiring evidence can be renewed without disrupting visits.

  1. Verify certificate details from source evidence.
  2. Agree role sets for service, install and commissioning.
  3. Tag specialist refrigerant requirements separately.
  4. Check access and customer additions per job.
  5. Update dates and files together after renewal.

Manage customer and manufacturer layers

Framework customers may ask for their own induction, lone-working briefing or product accreditation, while manufacturers may issue training tied to a particular range. Label these with owner and scope so dispatchers do not confuse a customer preference with an individual F-Gas category. Set expiry only where the evidence or controlled company policy supplies one. When an engineer changes employer, check which records remain personal, which depended on the certified company and which authorisations must be repeated. A quarterly sample of upcoming jobs against engineer records is a useful way to expose missing specialist coverage before the emergency call arrives.

For subcontract refrigeration engineers, capture the employing company and agree who checks individual certificates and company certification. Do not upload refrigerant logs, customer plant data or service reports into the training record simply because they mention the engineer; those belong in operational systems. If an engineer gains a new category or specialist refrigerant course, update dispatch tags only after checking the evidence and any company authorisation needed for that work.
