How to Track Hot-Works Training and Permits

Track relevant worker records in the matrix, but issue and close each hot-work permit through the site’s task-specific permit system.

Training and permits answer different questions

A hot-works awareness course may show that a person received information; a permit controls a defined task, place and time. Do not store a reusable “hot works authorised” expiry and assume it covers every job. The permit process should address hazards, combustible material, isolations, extinguishers, fire watch, duration and post-work checks.

What belongs in each record

  • Matrix: assigned hot-work awareness or company procedure briefing
  • Matrix: trade or equipment records such as abrasive wheels where relevant
  • Matrix: fire-watch or fire-marshal training if your process assigns it
  • Permit: exact location, task and people
  • Permit: controls, issue time and expiry
  • Permit: fire-watch period and close-out
  • Project file: incidents, changes and retained permit evidence

Connect without conflating

The permit issuer can consult the matrix for current assigned records, then carry out the actual site review. If the crew changes, reassess and reissue as required; do not simply swap a name on an old permit. Expiry reminders should target portable training, while permits expire according to the controlled job.

  2. Assign supporting training by role.
  3. Verify current evidence before issue.
  4. Issue for a specific task and period.
  5. Complete fire-watch and close-out records.
  6. Review lessons after deviations or alarms.

Review recurring permit problems

Use permit close-out data to identify operational patterns: repeated missing fire-watch cover, unclear issuer authority or workers unfamiliar with the company procedure may justify targeted briefing or supervision. Do not automatically assign another generic course whenever a permit was poorly completed; first establish the cause. Keep training corrective actions in the matrix and permit-process actions in the site system, with owners for both. Contractors working under a host’s permit should understand which process governs and how handback occurs. Periodic sampling should compare named permit workers with the evidence checked at issue.

For overnight or shutdown work, identify who remains for the post-work fire watch and how completion is handed over. The person carrying out hot work and the person monitoring afterwards may not be the same. Record permit times honestly and never extend one by changing the displayed expiry after issue. If the work location or method changes, close or suspend the permit through the approved process and reassess; training status cannot make the original controls transferable.
