How to Track Face-Fit and RPE Records

Link each face-fit result to the person, test method and exact make, model and size of tight-fitting facepiece, while keeping RPE selection and health considerations in the competent process that owns them.

A pass is specific, not portable to every mask

A face-fit record should identify the wearer and the precise facepiece tested. A generic “face fit passed” cell can lead teams to assume a different mask is covered. Keep qualitative or quantitative method, test date, tester details and evidence according to your policy, alongside separate records for RPE use, cleaning and maintenance instruction.

Use review triggers carefully

Do not invent a universal expiry where the evidence or your competent policy does not specify one. Track a review date if your organisation sets it, but also respond to changes such as a different mask, significant facial change or other conditions identified in current guidance. Facial hair and wearer checks need active management, not a dormant certificate.

  1. Confirm RPE has been selected by a competent process.
  2. Test the exact facepiece provided.
  3. Attach complete evidence to the worker record.
  4. Make model and size visible to stores and supervisors.
  5. Review after relevant change and under your agreed programme.

Make records usable at the point of issue

Stores and supervisors need to match the issued facepiece to the tested make, model and size. Use consistent product naming and avoid relying on a certificate filename that only the safety adviser understands. If several reusable masks are issued, each relevant match must be clear; if disposable models vary with supply, procurement changes should trigger review before substitution. Record failed or incomplete tests according to a restricted process so they are not mistaken for permission, while protecting sensitive information. Regularly sample actual issue records against the matrix and investigate mismatches rather than simply asking the worker to sign another awareness sheet.

Plan data access carefully because a fit-test file may include signatures or health-related context that general schedulers do not need. Give operations a clear valid-match status and facepiece identifier, while restricting detailed evidence to authorised roles. When a test result is withdrawn or a worker reports a relevant change, remove the operational current status promptly. Keep the reason under the appropriate confidential process rather than exposing it in a broad workforce export.
