Avoid one confined-space tick

Courses may distinguish low, medium or high risk, entry roles, supervision and rescue, but naming varies by provider. Capture the complete certificate title and practical scope rather than forcing it into a made-up universal level. Keep equipment inspection, medical and project permit information in their proper systems.

• Issue, expiry or review date shown by evidence

Build a team view

Filter the proposed shift as a group, not only the entrant. Check rescue arrangements, supervision and expiry throughout the planned work. A course booking or expired certificate should remain visibly non-current until the responsible person accepts new evidence under the company process.

2. Define roles in the safe system.
3. Assign the matching record requirements.
4. Verify evidence and team cover.
5. Brief and authorise through the project process.
6. Review whenever conditions or method change.

Keep rescue readiness current

Rescue training records need to connect to the rescue method, equipment and people available for the actual shift. Exercise records, equipment inspections and emergency arrangements belong with the safe system, but the workforce matrix can identify who has the assigned learning and when it was last reviewed. Schedule practical exercises according to the competent plan and record attendance without inventing a certificate expiry. When a team member, breathing apparatus set or entry method changes, re-check the complete arrangement. A nominal rescue-qualified person allocated simultaneously to another remote space is not dependable cover.

During mobilisation, compare provider course descriptions rather than assuming identical titles mean identical practical content. Note limitations relevant to your work in a controlled scope field. Workers moving between water, utility, tank and process environments may encounter different classification and rescue arrangements even when their certificate looks current. Keep permit issuer and gas-monitor instruction records separate if assigned, and make sure the person reading the matrix understands that each supports only one part of the safe system.
