How to Track Gas Safe and Water Hygiene Records
Record Gas Safe registration evidence and categories from the authoritative register, keep water-hygiene training as a separate assigned requirement, and verify both for the actual work and client.
Do not treat “Gas Safe” as one qualification
Gas Safe registration concerns the registered business and the individual engineer’s listed categories and scope. Record enough detail for planning, but perform authoritative checks through the official register when required. A card image copied months ago is not the same as a current check. Water-hygiene schemes or awareness courses answer a different customer and contamination-control question.
Structure the records separately
- Employing or registered business
- Engineer identity and registration reference
- Relevant appliance or work categories
- Last official verification date
- Card evidence as supporting, not sole, verification
- Water-hygiene scheme or course title
- Issue, expiry or review date actually shown
- Client induction and evidence
Check before allocation and after change
Use the matrix to shortlist an engineer, then verify scope for the proposed gas work and customer under the required process. For water systems, assign records according to the client, role and hygiene procedure rather than assuming every plumber needs the same badge. Re-check when categories, employer or contract change.
- Define the job and applicable client controls.
- Check official Gas Safe details.
- Record category-level planning data.
- Verify water-hygiene evidence separately.
- Attach dated proof and verification notes.
- Review before expiry and on employer change.
Build reliable verification handovers
When a scheduler checks a category, record the date and source so the next colleague knows whether another live check is needed. If an engineer transfers between registered businesses, treat that as a review trigger rather than carrying forward company-linked assumptions. Water-hygiene records may come from different client schemes; preserve the exact title and accepted scope. For planned programmes, review expiries through the final appointment date and identify the only engineer covering a particular category or area. Keep personal registration data restricted and remove obsolete copies under your retention policy.
Do not combine gas categories and water-hygiene status into one property-compliance score. Dispatch should filter each requirement independently for the job, then complete live verification where the process demands it. If official register information conflicts with an uploaded card, quarantine the planning record and escalate rather than choosing the later-looking date. Keep evidence of the resolution and train schedulers to recognise that company registration, individual categories and customer hygiene schemes have separate owners.
Use authoritative registers and advice
FieldClear does not connect to Gas Safe, register engineers, decide scope or manage water safety. It tracks assigned records only. Verify official sources and obtain competent gas, water-hygiene and legal advice.
