Why split F-Gas categories into separate columns

A single “F-Gas” date looks tidy and fails the allocation question: who holds Category I versus Category II for today’s call-out? If you assign work by category, give each category its own column with its own expiry or reassessment date and evidence link.

Matrix vs a dedicated F-Gas expiry view

Use the matrix when you need the full picture of an engineer — site cards, access training and F-Gas together. Use a focused F-Gas expiry workflow when the weekly question is only “whose category renewals land this month?” Both should use real dates and the same evidence, not two conflicting sources of truth.

How to use it for HVAC / M&E

1. List engineers and subcontractors who attend sites.
2. Split F-Gas categories into separate columns if you allocate work by category.
3. Enter expiry or reassessment dates as DD/MM/YYYY — not text months.
4. Mark N/A for columns that do not apply to that role; leave blank only when the record is missing.
5. Review before busy seasons and before large planned maintenance programmes; spreadsheets will not email you.
6. When the sheet drifts, run the matrix health check or upload into software for reminders.

Mobile workforce tip

HVAC teams rarely sit in one office. The matrix fails when evidence lives only on phones. Decide where PDFs live, put that path in the evidence column, and treat a date without a file as incomplete — the same standard a client will apply on site.
